Payroll compliance

Payroll compliance for Indian employers, month after month

WeHR calculates each statutory contribution with rules that carry their effective dates, reminds you before every due date and prepares the upload files — so filing is a check and an upload, not a weekend with spreadsheets.

The compliances WeHR covers

  • Provident Fund (EPF)

Employee 12%, employer split into EPS and EPF, EDLI and admin charges, with the PF wage ceiling applied by wage month. ECR text file and remittance sheet each month.

  • ESI

Employee and employer shares on ESI wages up to the ceiling, coverage held for the contribution period, and the monthly upload file and challan sheet.

  • Professional Tax

  • TDS on salary

Monthly TDS under the old and new regimes, challan details and Form 138 working sheets (the quarterly return that replaced Form 24Q), and the Form 130 computation.

  • Code on Wages: the 50% rule

Optionally add back allowances above 50% of pay to wages for PF and gratuity, as the Labour Codes define wages.

  • Compliance calendar

PF, ESI, TDS, PT, LWF and bonus due dates for your company’s states, with reminders and a record of what was done.

  • New joiners

Track PF and ESIC registration deadlines for joiners and download branch-wise joiner files.

Where WeHR stops

  • WeHR calculates and prepares; it does not log in to EPFO, ESIC, the income-tax or state PT portals for you.
  • State Professional Tax and LWF rules change by notification. WeHR marks state rules to be checked, and you can adjust a due day or rule for your company.
  • This page explains how WeHR works. It is not legal advice — check your specific situation with your compliance adviser.

Questions

What are the main payroll compliances for a small employer in India?

Usually Provident Fund (if you have 20 or more employees, or registered voluntarily), ESI (10 or more employees in notified areas, for employees within the wage ceiling), Professional Tax in states that levy it, Labour Welfare Fund in some states, and TDS on salary above the tax limit. Which apply depends on your size, states and pay levels.

When are PF and ESI paid each month?

Both are normally due by the 15th of the following month. TDS deducted in a month is usually deposited by the 7th of the next month (for March, by 30 April). Use the free compliance calendar for the dates that apply to you.

Does WeHR keep up with rule changes?

The WeHR team updates statutory rules when notifications change them, with the date the change applies from. Months you have already approved are not recalculated.
